Xcentric Events Limited Hire Terms & Conditions Payment terms: Payments must have cleared before the event starts and before equipment is used, unless other arrangements have been made to pay by BACS or credit card. If payment has not been received at the start of the event, all equipment will be removed from site. Please Note: if we turn up at the agreed venue/site and the function/hire is cancelled, Xcentric Events Limited must still be paid in full for the hire. A deposit will be required to hold the date, staff and equipment, with the balance due 30 days prior to the event Delivery: As we travel long distances, Xcentric Events Limited cannot be held responsible for late delivery due to unforeseen circumstances. For example: breakdowns, bad weather, acts of God or traffic jams. The Venue / site: It is the responsibility of the client named on the contract to provide a safe working environment, ensuring that: - There is sufficient access available for the safe loading and offloading of the equipment - There is designated and secure parking available outside the venue for one large van - The venue has the required access and area required to allow the equipment to be set-up safely - There is a cornered off area away from the public for equipment - The area where the equipment is to be set-up is clean, and does not contain any substances such as, oil, paint, or any sharp objects such as glass, metal, or wood, which may cause injury or damage to any persons or equipment. Xcentric Events Limited reserves the right to refuse the operation or hire of our equipment if we reasonably believe that the venue is unsuitable or unsafe to operate in. The hirer shall be liable for all costs. Equipment: In the unlikely event of equipment failure or malfunction, the cost of the hire or part of it will be refunded to the hirer at our reasonable discretion. With larger events where there are multiple zones and various pieces equipment hired the refund will only relate to the area of malfunction and not the cost of the whole event. Damage to equipment in direct relation to persons attending an event will be the responsibility of the hirer/organiser to cover the costs of repair or replacement. Any cost will be related to the damaged equipment only. Glassware: We strongly recommend that venues holding events do not serve drinks in glass bottles or glassware of any kind and instead use plastic or polycarbonate cups. If glasses or glass bottles must be used we recommend a food and glass free area to be setup and controlled by security staff and any breakages of glass removed immediately. Late night venues: It has been agreed by Xcentric Events that event security will not be required in this instance, as there will be event staff manning the stations at all times. Participant Behaviour: It is at our discretion, as the supplier (and we shall act reasonably), as to whether or not the hire should be closed down for reasons such as: • The participants acting in an abusive or aggressive manner towards staff and equipment. • The weather conditions are proving to be too dangerous. Should this happen, the full total cost shall still be payable by the named client on the contract. Weather Conditions:* (*for outside events only) In the event of use being prevented from hiring & setting up equipment due to inclement weather conditions (such as real snow, winds, heavy rain, or any circumstances beyond our control), and we are instructed to arrive, all payments must still be paid in full. If the event is cancelled 14 days before the event date, we will offer you the chance to reschedule an alternative day of your choice, providing the equipment is available for the date you require. Should the event be cancelled due to extreme weather conditions, we shall work with the customer on costs (staff expenses if the event is cancelled partway through the event) and alternative dates. Public Liability Insurance: Xcentric Events Limited carries Public and Product Liability Insurance of five million pounds. We shall not be held responsible for any damage caused to the event venue save where such damage is caused by our negligence. By signing this agreement you waiver all rights to claim against damage caused by our foam machines, paint, slime etc or equipment used for this event unless we have been negligent in our use of them. Cleanup service: This service is to be booked prior to the event as we do not carry this equipment with us unless booked. If this service has not been booked, the staff and equipment must be free to leave the premises before the end of the event or venue closure. Mains power supply: (Where applicable) The client must ensure that a mains 13amp-power supply is available (or the necessary power source as discussed with Xcentric Events Limited) for our use, within 5 meters of where our equipment is to be set up unless we have agreed to provide a generator. Please check the wattage required for the equipment hired for your event. Items such as foam cannons draw up to 3000 watts, snow machines require 2400watts, inflatables from 1500watts and as the hirer you are responsible for the power supplies unless agreed otherwise. Agreement: This is an agreement between us, the company trading as Xcentric Events Limited and you, Hampshire and Isle of Wight Air Ambulance (a limited company incorporated and registered in England and Wales with company number 5244460), the client. This agreement starts from the date the deposit is paid, so unless a written cancellation is received 30 days before your event date you are liable for all costs on your contract in full.
